Position Summary

Responsible for scheduling procedures/visits for the division and accurately obtaining required information for medical records, governmental requirements, billing, and third-party payer needs. Additionally, staff will ensure that patients have all the necessary information regarding their coverage and benefits related to their visit and inform patients of their financial obligations so that they arrive prepared. The Schedistrar duties also include communications with multiple departments, collection of deposits and co-pays.


Education

High School Diploma or GED is preferred.


Experience

1-year experience in customer service and general clerical/office procedures is required.1-year healthcare experience is preferred.Knowledge of medical terminology is preferred.

Responsibilities

Fields incoming scheduling calls, keeping an accurate record of appointments scheduled, changed or cancelled to avoid over or under-booking.

Confirms scheduling information with the physician office or patient promptly and accurately.

Calls physician’s office as necessary to obtain proper orders, scan orders and any other appropriate documentation/forms to the patient’s medical record.

Sends notice to physician offices/insurance payers regarding rescheduled, cancelled exam, and no-show appointments as necessary.

Interviews and pre-registers patients, ensuring accuracy and completion of documents.

Collects all proper insurance information using various computer software programs to promote prompt, accurate payment by carriers.

Works to ensure that forms are pre-filled and ready to complete upon the patient’s arrival for service.

Accesses web-based applications, to accurately check eligibility of services and benefits to aid in Point of Service (POS) Collection efforts.

Collects co-payments, deductibles and deposits owed by patients.

Provides patients with information regarding hospital policy and procedures and directs patients to appropriate nursing or ancillary units.

Thoroughly explains any pre-service requirements and prep instructions.

Attempts to collect on any current balances, always exhibit the ability and understanding of payments and adjustments to ensure collection accuracy of outstanding balance(s) due.

Exhibits a professional and pleasant demeanor when dealing with customers.

Uses diplomacy and respect both in person and when communicating by telephone.

Performs calmly and efficiently in stressful or emergency situations.

Prioritizes scheduled requests.

Adheres to policy and procedures, fosters respect for patient privacy, promotes customer service, and interacts appropriately with others.


Possess the information, skill, and understanding of the work to be performed.  Actively participates in continuing education opportunities and maintains certifications, licensure as appropriate.

Abides by all safety requirements including demonstrating proper hand hygiene and wearing of Personal Protective Equipment (PPE), if applicable. 

Complies with all standards, policies and procedures including dress code, attendance and punctuality.  Attends required in-services and meetings and completes all mandatory competencies by deadline. Commits to keeping all patient, student or colleague information confidential and maintains ongoing communication and collaboration with team members.
