Position Summary

The HR Preboarding Specialist is responsible for creating a seamless onboarding experience for new hires.   Serves as the candidate's primary contact and guide following their acceptance of the job offer to their first day of work at Hospital Sisters Health System (HSHS).  Provides high quality customer service and creates a positive experience for new hires transitioning into their new roles with HSHS.  Partners closely with fellow HR team members and leaders to support our mutual goal of connecting great people with great career opportunities.

 


Education

Associates degree in Human Resources, Business or related experience is preferred.

 

High school diploma and three years of administrative, customer service or recruitment experience may be considered in lieu of degree.

 


Experience

1-2 years of clerical, customer service and/or human resources experience is required.

Utilizes excellent time management and organizational skills to prioritize multiple tasks.


Responsibilities

Ensures that new hires have properly completed all necessary post offer tasks and transactions, including background checks, drug screens, physicals, paperwork, and all other preboarding workflow processes for assigned candidates.

Assists candidates with appointments and preboarding processes and tasks.

Partners with Talent Acquisition Consultants and leaders, HR Generalists and Business Partners, and hiring managers to communicate details and collaborate on matters involving new hires.

Provides timely, high-quality, effective service to all customers including colleagues, leaders and HR team members.

Maintains data accuracy in the applicant tracking system (ATS), human resources information system (HRIS), third-party vendor systems, internal tracking workbook and other databases.

Stays current with knowledge base of reference materials and resources and explains processes, policies, standards or regulations to candidates and leaders as needed.

Actively participates in education/training opportunities.

Acts as a liaison between candidates and leaders to facilitate communication and to ensure successful onboarding of new hires.

Manages assigned workload and provides frequent updates on progress to appropriate parties.


Possess the information, skill, and understanding of the work to be performed.  Actively participates in continuing education opportunities and maintains certifications, licensure as appropriate.

Abides by all safety requirements including demonstrating proper hand hygiene and wearing of Personal Protective Equipment (PPE), if applicable. 

Complies with all standards, policies and procedures including dress code, attendance and punctuality.  Attends required in-services and meetings and completes all mandatory competencies by deadline. Commits to keeping all patient, student or colleague information confidential and maintains ongoing communication and collaboration with team members.
