Position Summary

The System Manager-Grants Office leads all grant writing functions for all of Hospital Sisters Health System (HSHS) and Hospital Sisters of St. Francis Foundation (HSSFF). Managing all aspects of the grant process, this leader will manage systems of identification, assessment, submission and tracking as appropriate for public, private, corporate, industry or government grant support. This role also prepares individually as well as leads grant coordinators to submit complete and compelling applications and proposals to secure approved grant funding; manages the proper disbursement of grant payments, as well as the completion and submission of post-award reports; and successfully maintains positive relationships with and between internal leaders, grant recipients and funders.

 

 


Education

Bachelor’s degree in business, communications or a related field is required.

High school diploma or equivalent plus 5 years of experience in grant writing, philanthropy, fundraising or communications may be considered in lieu of degree.

 


Experience

5 or more years of grant-specific fundraising experience preferred (this experience is in addition to experience used in lieu of degree).

Minimum of 3 years supervisory/team lead experience required; 3 years demonstrated leadership experience may be considered.

Knowledge, Skills and Abilities

Demonstrated written communication skills; proficient in English written and verbal communication.

Demonstrated knowledge of grant writing and follow through; OMB (Office of Management & Budget) guidance and federal grant administration requirements;; in-depth knowledge and interpretation of the Uniform Guidance (UG) to ensure oganizational compliance.

Possesses strong organizational skills, and effective leadership skills.

Knowledge of subrecipient monitoring process.

Ability to drive multiple projects to successful completion.

Excellent collaboration and team building skills.

Basic knowledge of financial management systems and grant accounting to support collaboration with the Finance team.


Responsibilities

Maintains an active grants portfolio with public (government), private and industry accounts in alignment with HSSFF standards for position.

Directs all HSHS and HSSFF grant submissions from identification, assessment/approval, submission to post-award fulfillment with adherence to all stated deadlines.

Leads organizational committee with respective HSSFF team members, operational department leaders and subject matter experts to assess “readiness to apply” for identified grant opportunities.

Manages all personnel functions of the HSSFF Grants Office.

Monitors and ensures compliance with sponsor guidelines and federal and state policies, including OMB guidance and the Uniform Grant Guidance (UGG).

Establishes and implements grants-related policies and procedures across the organization.

Manages a continuous identification process to align public, private and industry sources to HSHS or HSSFF present and future needs

Maintains detailed files and records that allow ease of program reporting, access to details of funded grants and satisfies the needs of auditors. Ensures all grant activities are clearly listed on a system-wide submission calendar.

Maintains grant records, databases, and program documentation.


Leads a team of colleagues in human resource initiatives including but not limited to; performance management; education and development; selection and retention; workforce planning; coaching and counseling; and supporting activities that promote colleague engagement and satisfaction. 

Leads or supports the financial resource functions including but not limited to; managing expenses; preparing, monitoring and executing within limits of the budget; monitors productivity standards; manages the purchasing process and all decisions related to the finances for the area of responsibility. 

Leads or supports change and process improvement initiatives including but not limited to; strives for standard, efficient and value-added processes; communicates a clear vision; influences and motivates others; and develops strong relationships with key stakeholders.
