Position Summary

The Coordinator-Foundation-Special Events is responsible for the coordination, logistics and execution of fundraising and cultivation events hosted by HSHS Foundation in the HSHS Central Market.  Primary focus is with activities related to HSHS St. John's Hospital, St. John's College of Nursing, Mission Outreach, HSHS St. Mary's Decatur and HSHS managed fundraising events for Children's Miracle Network.


Education

Bachelor’s degree in business, communications, marketing, public relations, philanthropy or a related field is required.

High School diploma plus five (5) years of experience in fundraising, communications, marketing, sales, public relations or philanthropy or relevant experience will be considered in lieu of a degree.


Experience

3 years of experience in fundraising, sales/marketing or public relations required.  (This experience is in addition to any experience used in lieu of a Bachelor's degree.)

Responsibilities

Manages all end-to-end logistical elements of assigned cultivation, stewardship and fundraising events inclusive of identifying venues, vendor management, catering/food orders, timeline development, invitation and invitee list development, attendee communications and responses, seating arrangements, budget management, any scripting/programming details and on-site event coordination.

Develops and maintains details event task check list for each assigned event with attention to completion of each task by determined deadline.

Creates complete event expense budget and further manages/ completes any contracts and account payable needs for events.

In conjunction with event lead and marketing, guide, fact-check and produce event materials including website, invitations, reply devices, programs, signage, and other event communications.

Convenes, participates and records event strategy development with event lead, marketing contact, event committees and leadership.

Works with event lead to determine appropriate event audience inclusive of sponsors, invitees, physicians/colleagues, stakeholders and important guests.

Manages all promotional activities (internal and external) such as social media, email, advertisements; displays and other media partnerships.

Manages all technology needs for event including registration and giving platforms aligned with Blackbaud NXT.

Completes purchase or secures items for attendee event experience and may include request for in-kind support.

Leads event volunteers by identifying specific event needs, secure volunteers for each needed role and provide appropriate direction and oversight.

Proactively provides exceptional service for all event attendees and stakeholders.


Possess the information, skill, and understanding of the work to be performed.  Actively participates in continuing education opportunities and maintains certifications, licensure as appropriate.

Abides by all safety requirements including demonstrating proper hand hygiene and wearing of Personal Protective Equipment (PPE), if applicable. 

Complies with all standards, policies and procedures including dress code, attendance and punctuality.  Attends required in-services and meetings and completes all mandatory competencies by deadline. Commits to keeping all patient, student or colleague information confidential and maintains ongoing communication and collaboration with team members.
