Position Summary | The Construction & Facilities Project Specialist will work very closely with HSHS construction and facilities management teams. This position is responsible for tracking major action items and comprehensive project documentation, including but not limited to, project setup, contracts, pay applications, timelines, reports, internal data entry and submissions to other support departments. This position will be an internal resource on projects and operational initiatives for both facilities and construction teams. This is a strategic position that will focus on organization, innovation, and aim to improve current processes and create efficiencies across departments. | | | |
Education | Bachelor’s degree in Business or related degree is required. | High School Diploma and five years of experience as an assistant or experience in customer service, project management or related field may be considered in lieu of a Bachelor’s degree. |
Experience | 3 years of experience in construction support, customer service or related experience is required. (This experience is in addition to the in lieu of experience if without a Bachelor’s degree.) | Demonstrated experience using Microsoft Word, Microsoft Excel, and web-based applications is required. | Experience is project management is preferred. |
Certificates, Licenses and Registrations | Project Management Professional (PMP) certification is preferred. |
Knowledge, Skills and Abilities | Ability to analyze and interpret financial data. | Demonstrated written communication skills; outstanding customer service skills. | Excellent collaboration and team building skills | Excellent organizational skills. | Highly thorough and dependable. | Proactively approaches responsibilities; ability to work in a fast paced, dynamic environment. |
Responsibilities | Uses the EBuilder project management tool to track construction project status and financials. | Uses Ntracts contract management software to monitor and track facilities management and construction management contracts. | Serves as a leader over department communications; acts as a central point of contact between team members, vendors, and contractors. | Supports the material procurement process. | Assists department leadership in monitoring budgets and project expenditures. | Reports, tracks, and communicates all project work in Microsoft Excel. | Assists with Infection Control Risk Assessments on construction projects. | Oversees all appropriate documentation and keeps up-to-date records for both facilities and construction. |
Possess the information, skill, and understanding of the work to be performed. Actively participates in continuing education opportunities and maintains certifications, licensure as appropriate. | Abides by all safety requirements including demonstrating proper hand hygiene and wearing of Personal Protective Equipment (PPE), if applicable. | Complies with all standards, policies and procedures including dress code, attendance and punctuality. Attends required in-services and meetings and completes all mandatory competencies by deadline. Commits to keeping all patient, student or colleague information confidential and maintains ongoing communication and collaboration with team members. |
